Limitations

  • Copilot may omit, duplicate, misinterpret or place information in the wrong section; the result must be checked against the source forms.
  • Source documents need to be accessible to the user, typically through SharePoint or OneDrive when referenced directly.
  • The quality of consolidation depends on the consistency of the incoming forms and the clarity of the master template and prompt.
  • Do not treat the generated master document as an authoritative record until a person has verified the key fields and any additional information Copilot has generated.

Prerequisites

  • Microsoft 365 Copilot access with Copilot in Word enabled.
  • An approved master Word template with clear headings or fields.
  • Permission to access the source documents.
  • A review process for any material that is operationally, financially or regulatorily important.

Workarounds

  • Where direct multi-file referencing is unavailable, upload or open the source files in an approved Copilot Chat session, create a structured consolidation summary, then use that summary to complete the master template in Word.

Notes

This works particularly well when the master template has a clear structure and the prompt explicitly says which source documents should populate which sections. Treat it as assisted document assembly rather than autonomous record creation.

Watch-outs for Premium Copilot

  • The Premium licence does not mean every Microsoft 365 AI feature is automatically enabled.
  • Permissions hygiene matters more because Copilot can use work context the user is already allowed to access.
  • App experiences differ: Word, Excel, PowerPoint, Outlook and Teams do not all expose identical capabilities.
  • Keep sensitive meeting scenarios such as safeguarding, HR, malpractice, appeals and complaints under explicit policy and review.
