When Copilot Studio starts to make sense

NeedWhy Studio
A centre-facing or wider organisational AgentYou need controlled publishing, channels and organisational ownership.
The Agent needs actionsYou need to connect conversations to governed processes or systems.
The Agent needs premium/custom connectorsYou need broader integration than a simple helper Agent.
Different environments or deployment controlsYou need Power Platform governance, DLP and admin controls.
Usage needs monitoring and budgetingCopilot Credits and capacity need to be managed as an operational service.

Awarding-organisation examples

A governed centre-facing FAQ Agent could answer only from approved published guidance and escalate unclear questions. An internal qualification approval Agent could guide staff through controlled process steps. A finance or IT Agent could answer approved questions and take limited actions where the organisation has explicitly designed and tested those actions.

Knowledge is not limited to documents
